Privacy Policy

1. Purpose

The Stanker's Showdown places particular importance on protecting the personal data of participants and community members.

This Privacy Policy explains what data is collected as part of the tournament, why it is used, who it may be shared with, and for how long it is kept.

It applies to data collected in particular through the website, the sign-up form, and the tools used to organise the tournament.


2. Data controller

The controller responsible for the data processing carried out as part of The Stanker's Showdown is:

This address may be used for any question relating to personal data or to exercise the rights provided for by applicable regulations.


3. Data collected

As part of a sign-up, the following information may be collected for each of the three crew members:

  • Gamertag;
  • Discord handle or username;
  • Twitch channel or handle.

The following information is also collected:

  • crew name;
  • email address, where provided.

The email address is optional and requested only for the purpose of receiving communications about future editions of the tournament.

As part of standard sign-up, The Stanker's Showdown does not request:

  • first and last name;
  • postal address;
  • phone number;
  • date of birth.

4. Signing up a crew

One person may sign up all three members of their crew.

The person filling in the form must provide accurate information and make sure their crewmates have been informed of their sign-up as well as of the rules and policies applicable to the tournament.

The Stanker's Showdown may request individual confirmation from a participant when necessary to validate or manage their sign-up.


5. Purposes of processing

The data collected is used solely for the purpose of organising and running the tournament.

It may in particular be used to:

  • register teams;
  • identify participants;
  • organise matches;
  • build groups;
  • manage substitutions;
  • communicate with participants;
  • publish results;
  • establish standings;
  • ensure refereeing;
  • handle complaints and disputes;
  • manage technical incidents;
  • prevent and identify behaviour contrary to the rules;
  • ensure the distribution of any rewards;
  • ensure the broadcasting and audiovisual archiving of the tournament.

6. Information made public

To ensure the public presentation and transparency of the competition, the following information may be made public:

  • crew name;
  • Gamertag;
  • participating team;
  • result;
  • standing;
  • qualification;
  • elimination.

Discord handles and email addresses are not intended to be published in standings or on the tournament's public materials.


7. Streaming and audiovisual content

Streaming is a mandatory condition of participation in the tournament.

Streams may be:

  • viewed by referees;
  • viewed by the public;
  • broadcast on the tournament's official channels;
  • recorded;
  • kept as VODs;
  • published on YouTube;
  • used to create clips, edits, recap videos or promotional content.

8. Refereeing and anti-cheat

The data and content available as part of the tournament may be used to verify compliance with the rules.

Screenshots, clips, recordings or other material may be kept when necessary to examine an incident, a suspicion of cheating, a complaint or a dispute.

Where behaviour is likely to constitute a breach of the rules applicable to Sea of Thieves or its services, the relevant material may be forwarded to Microsoft Corporation, Rare Ltd. or any other competent entity where such disclosure is warranted.

The Stanker's Showdown does not guarantee that any sanction will be taken by the receiving entity.


9. Tools used

Sign-ups are currently collected using Google Forms and may be recorded in Google Sheets.

These tools may in particular be used to:

  • record sign-ups;
  • manage crews;
  • organise the information needed for the tournament;
  • prepare the groups;
  • ensure the administrative follow-up of the competition.

Where automated tools or artificial intelligence systems are used for certain organisational tasks, only the information necessary for that specific task is transmitted.

Personal data that is not needed to build the groups or carry out the relevant task is not transmitted to these tools.


10. Communications

Operational communications relating to the tournament mainly take place through The Stanker's Showdown's official Discord server.

Joining this server is mandatory to take part in the tournament.

An email address may optionally be provided in order to receive communications about future editions or seasons.


11. Communications about future editions

Where a person voluntarily provides their email address to receive future communications, it may be used to send, in particular:

  • announcements of new seasons;
  • information about upcoming editions;
  • important information regarding the tournament's development.

This sign-up is optional and is not a condition of participation in the tournament.

The person may ask to stop receiving these communications at any time.


12. Data retention

Data required for organising the tournament is kept for as long as necessary for that purpose.

Data or material specifically needed to handle:

  • disputes;
  • complaints;
  • checks;
  • refereeing;
  • the distribution of rewards;

may be kept for a maximum of two weeks after the end of the tournament, unless a legal obligation or specific need justifies a different period.

At the end of this period, the relevant material is deleted or anonymised once it is no longer needed.

Email addresses used for future communications are kept for as long as the person wishes to receive them, subject to the rules applicable to data retention and direct marketing.

VODs and audiovisual content published as official tournament archives are subject to the specific terms set out in the Broadcasting Policy.


13. Security

The Stanker's Showdown implements reasonable measures to limit the risk of:

  • unauthorised access;
  • disclosure;
  • loss;
  • destruction;
  • unauthorised alteration.

Access to sign-up data is limited to those who need it to organise the tournament.


14. Your rights

Under the conditions provided for by applicable regulations, data subjects have, in particular, the right to:

  • access their data;
  • rectify inaccurate data;
  • erasure;
  • restriction of processing;
  • object, where this right applies;
  • withdraw consent, where processing is based on it;
  • data portability, where this right applies.

15. Exercising your rights

Any request relating to personal data may be sent to:

The Stanker's Showdown may request information reasonably necessary to verify the requester's identity when such verification is necessary to protect the data concerned.


16. Complaints to a supervisory authority

Anyone who believes their rights regarding their personal data are not being respected may also lodge a complaint with their relevant data protection authority (in France, the CNIL).


17. Changes to this policy

The Stanker's Showdown may amend this policy as the tournament's operations, the tools used, or regulatory requirements evolve.

The version published on the website is the applicable version.
